RENTAL AGREEMENT

  1. CHECK-IN TIME IS FROM 4:00 to 5:00 PM. CHECK-OUT TIME IS NO LATER THAN 10:00 AM. THESE TIMES WILL BE STRICTLY ENFORCED. All check-ins planned after 5:00 PM must contact the office to get instructions. “Changing or switching” of units upon arrival is prohibited. If you find any problems with the rental unit, please notify the office as soon as possible. When you leave the rental unit, please lock all windows and doors and return the keys to the rental office or place them in the Key Drop Box to the right of the office at the corner door of the building.
  2. NO ONE UNDER THE AGE OF 25 WILL BE ALLOWED TO CHECK-IN UNLESS THE FINANCIALLY RESPONSIBLE (TOTALLY LIABLE) PERSON OVER THE AGE 25 IS AVAILABLE ON THE RESORT PREMISES AT ALL TIMES DURING OCCUPANCY FOR EACH UNIT OCCUPIED.
  3. Ninety (90) days prior to each check-in date, all fees are due (for multiple months, this is multiple due dates, in 90 day increments), otherwise the reservation is canceled and the reservation deposit is forfeited. Payment may be made by Visa, MasterCard, check or money order. (No cash accepted and subletting is strictly prohibited.)
  4. Refunds cannot be made due to cleaning issues, inclement weather or mechanical failure of equipment. In the event of a hurricane watch, refunds will only be given when a MANDATORY evacuation has been issued by St. Johns County. Mechanical failure of air conditioners and appliances can happen and we only guarantee that the repair will be made as soon as possible.
  5. Pool rules shall be observed as posted and abided by. There are no Lifeguards on duty and swimming is at your OWN risk.
  6. NO PETS allowed under any circumstances by Renter’s or Guest’s or you will be evicted from the unit and the rent forfeited. An additional service & cleaning fee of $200 will be billed to the credit card on file or against the security deposit to cover pest treatment and deep cleaning expenses.
  7. Vehicles MUST have a Summerhouse Beach & Racquet Club Visitor’s Pass displayed on the dash while on property or it shall be towed away at the Owner’s expense. Please adhere to the designated numbering system on parking places as they are for each designated unit only. Each unit rental includes two (2) parking passes ONLY. One designated to the unit number and one for a guest parking place (blank or non-numbered parking place). Any other vehicles are not permitted on property unless approved by the General Manager.
  8. Travel Insurance has been made available with your reservation. Vacation Rental Insurance provides coverage for the loss of prepaid, non-refundable expenses due to certain unforeseeable circumstances that may jeopardize your vacation investment and force you to incur unplanned expenses. The coverage is available for events such as a sickness or injury of yourself, family member or traveling companion; flight delays due to adverse weather; interruptions of road service; terrorist acts; and mandatory evacuations. The plan also includes other valuable coverages such as Medical and Dental, Baggage, and Emergency Assistance and Transportation in addition to useful services such as identity theft, concierge and 24/7/365 emergency assistance.   9. Damage Insurance is available as part of your stay, you may purchase a Vacation Rental Damage Protection plan designed to cover accidental damages to the rental unit interior that occur during your stay provided they are disclosed to management prior to check-out. If purchased, the policy will pay a maximum benefit of $1500.00. Any damages that exceed $1500.00 or are not covered under the plan will be charged to the credit card on file. If, during your stay an insured person causes any damage to real or personal property of the unit as a result of inadvertent acts or omissions, the Insurer will reimburse the Insured for the cost of repair or replacement of such property up to a maximum benefit of $1500.00. Certain terms and conditions apply. Full details of the Vacation Rental Damage coverage are contained in the Vacation Rental Damage Protection Agreement. The Vacation Rental Damage Protection can be purchased at time of booking. By submitting payment for this plan, you agree to the terms and conditions set forth in the Vacation Rental Damage Protection Agreement.. Please contact Summerhouse Beach & Racquet Club directly if you do not wish to participate in this assignment. If the Damage Insurance is not purchased, then a Security Deposit check made out to “Summerhouse Beach & Racquet Club” in the amount of $2500.00 must be received within seven (7) days of the booking or the reservation is canceled. If the booking is immediate, the check must be received before check-in. The refund of the Security Deposit will be mailed out fourteen (14) days after check-out and verification of no damages.
  10. No reservations will be confirmed until the rental deposit is obtained and the $2500 security deposit check, if required, has been received by the rental office.
  11. BE SURE TO INSPECT YOUR UNIT FOR DAMAGE UPON CHECK-IN AND REPORT FINDINGS IMMEDIATELY TO THE OFFICE. IF ACCIDENTAL DAMAGES OCCUR DURING YOUR STAY AND YOU PURCHASED THE DAMAGE INSURANCE PLEASE REPORT THEM TO THE OFFICE AND SUMMERHOUSE WILL PROCESS A CLAIM ON YOUR BEHALF. COVERED DAMAGES FOUND AFTER CHECK-OUT WILL BE FILED AGAINST YOUR DAMAGE INSURANCE POLICY OR CHARGED AGAINST YOUR SECURITY DEPOSIT, WHICHEVER IS APPLICABLE.
  12. DESTRUCTION OF PROPERTY including damages to the furnishings and household items which occur as a result of the guest occupancy, excluding normal wear and tear, shall be the responsibility of the renter who shall bear any expenses incurred for such damages caused by renter, his family guests and/or invitees. There shall be no marking, damaging, destroying, or defacing ANY part of the condominium land, recreational land and facilities.
  13. All Facilities are provided by Summerhouse Beach & Racquet Club for our Owners and for the use of REGISTERED GUESTS ONLY.
  14. Overnight occupancy shall not exceed 8 persons for 3 bedroom units and 6 persons for 2 bedroom units. Some units have additional restrictions.
  15. CAMPERS AND MOTOR HOMES are not allowed to be hooked-up or used on property and shall be stored in RV Storage area, including boats and trailers. Boats and trailers must be stored in the RV storage area on a first come availability basis. The parking lot is for motor vehicles only.
  16. Keys issued must be returned to the SUMMERHOUSE BEACH AND RACQUET CLUB office upon departure. There will be a $10.00 charge for any key not returned or lost.
  17. PERSONAL ITEMS lost or forgotten are the responsibility of the guest, and SUMMERHOUSE BEACH & RACQUET CLUB or OWNER’S assume no responsibility for the same.
  18. VIOLATIONS OF RULES AND REGULATIONS are subject to a $25.00 fine per occurrence. Repeat violations of rules will result in eviction from premises and forfeiture of rent.
  19. Reservation Deposit of $344.78 is due at the time of the reservation. $94.78 of the reservation deposit is a booking fee and is NON-REFUNDABLE. The rest of the reservation deposit ($250) will be applied to your rental. Ninety days prior to arrival the balance of the rental is due. Otherwise the reservation is canceled and the reservation deposit is forfeited. Other charges: Cleaning & Linen fee is $185. State Tax is 6.5% and Bed Tax is 5% (11.5% total).
  20. Cancellations greater than 90 days prior to arrival date, the $250 of the reservation fee will be refunded. For cancellations from 90 days to 31 days prior to arrival date, 50% of the rent and fees are refunded. For cancellations from 30 days or less of the arrival date, the entire rental amount and fees are forfeited and no refund will be given.
  21. January, February and March are monthly rentals only unless a vacancy exist during the affected month. Three night rentals are available in off-season only, in the month they are rented, in units indicated on our website. Some units do not accept reservations of less than one (1) week, so please check the description of individual units or contact the office at 904-471-1503.
  22. Holiday Charge: Any rental with Easter Sunday, Memorial Day, July 4th, Labor Day, Thanksgiving Day, Christmas Day, and New Years Eve, will have a $200 holiday charge added.
  23. Privacy Policy: We respect and are committed to protecting your privacy. We may collect personal information when you visit our site, but we will NOT sell that information.
    All prices are subject to change at the sole discretion of Summerhouse Beach & Racquet Club.
